Why are subscription orders not syncing with Shopify?

Introduction

If subscription orders aren’t appearing in Shopify as expected, there’s likely an issue with the Roadmap-to-Shopify syncorder creation settings, or payment failures. This guide helps you troubleshoot and resolve missing or delayed subscription orders.

1. Payment failed — order not created

A subscription order won’t be created in Shopify unless the payment succeeds.

To check:

  1. Go to Roadmap Admin → Subscriptions → Manage Subscriptions
  2. Filter by Status → Failed
  3. Open the subscription to view payment attempts

👉 If the payment failed (e.g. expired card or insufficient funds), no order is sent to Shopify. The system retries based on your Dunning Settings.

2. Delay in sync — order is queued

Sometimes there's a brief delay in order creation, especially during high volume periods or if retries were recently triggered.

Wait a few minutes and refresh Shopify:

  • Orders may appear shortly after the charge succeeds.
  • Check for errors in your Roadmap activity log.

3. Shopify API connection issue

If Roadmap can't connect to Shopify’s API, orders can’t be created.

To troubleshoot:

  • Go to Roadmap Admin → Settings → Integrations
  • Make sure your Shopify store is connected and authorized
  • Reauthorize the app if needed

👉 You may also see error logs or alerts if an API token has expired or permissions were changed.

4. Subscription is paused or inactive

Paused or canceled subscriptions won’t generate orders — even if a charge is scheduled.

To check:

  • Go to the customer’s subscription and confirm the status is “Active”
  • Reactivate if needed to resume future orders

5. Item or variant has been deleted in Shopify

If the product or variant tied to a subscription has been deleted or unpublished in Shopify:

  • Roadmap can’t create an order
  • You may see errors in the subscription log (e.g. “product not found”)

Fix:

  • Re-add the product or replace it in the subscription manually
